Harlington Counselling is committed to complying with the terms of the General Data Protection Regulation (GDPR) 2018 and to the responsible and secure use of your personal data. Harlington Counselling has a legitimate interest in processing your personal data in order to provide you with counselling services. The purpose of this statement is to let you know what personal information will be collected, why, how long it will be keep for and your rights in relation to your personal data.
Information about you
Harlington Counselling will collect personal information from you in order to set up an initial appointment and to make contact with you as necessary from that point on. This information includes your full name, contact details, your availability and other relevant personal or health related information. When you attend an initial assessment session additional information is collected to help tailor the therapy to your needs including details about your background, medical history, and emergency contact details. During ongoing therapy, brief notes will be taken after each session and these are always non-identifiable and are kept in a locked, secure location. Once you finish counselling, all data regarding your therapy is stored securely for 7 years and then destroyed.
My use of this information
Your personal information will only be used to provide you with counselling services or to give you information relating to those services. Your personal details will not be shared with any other person or organisation without your knowledge and permission, unless there is a legal requirement to do so, for example if there is a child or adult safeguarding issue, or a perceived risk of harm. A breach of confidentiality occurs when a person shares information with another in circumstances where it is reasonable to expect that the information would be kept confidential.
Harlington Counselling will take all reasonable precautions to prevent the loss, misuse or alteration of the information you provide. Any information stored electronically will be password protected. Any paper-based information will be kept in a locked secure cabinet.
Your rights over your personal data
If you would like to see the information held by Harlington Counselling about you, or would like to correct, update or delete any records, please contact firstname.lastname@example.org. If you have any concerns about the use of your data, Harlington Counselling will aim to resolve any concerns you have. If your concerns are not resolved to your satisfaction, you can contact the ICO. You may withdraw your consent for Harlington Counselling to hold your data at any time and it will be securely destroyed. However, if you do this while actively receiving therapy your therapy would need to come to an end.
